Purchased Costume:
Competitors who wish to compete with a ready-made costume must register online and check in at the event secretariat on 24/11 by 13:00. To register, you must complete the following form, which will stay open until 17/11 at 24:00. For any questions, please contact us at info@gameathlon.eu or on our social media. You will receive confirmation from the organization that all the information you have sent is correct.
Handmade Costume:
The costume must be handmade and the contestants must present a progress book for the judges. To compete in the “Handmade Costume” category, at least 80% of the costume must be handmade. Registration is done electronically by completing the following form, which will stay open until 17/11 at 24:00. For any questions, please contact us at info@gameathlon.eu or on our social media. You will receive confirmation from the organization that all the information you have sent is correct, as well as the time you should be at the event for your prejudging.
General Participation Information:
- Cost of Participation: Admission for Cosplay Parade participants is free. Each participant is entitled to two (2) free passes, one for themselves and one for their companion, which give access to the entire event on the day of the Competition.
- Participation: In the Cosplay Competition you can only participate with individual cosplay. Competitors can use an assistant who can also wear a costume, but their role should be limited and distinct from the competitor
- Minors: Persons under the age of 18 must register with the presence of a guardian who will sign a declaration of responsibility at that time or bring a certified declaration of responsibility for their participation in the competition through gov.gr
- Parade/Competition: Participation in both the Parade and the Competition the next day is allowed but with a different costume.
- Restrictions: Participation in the competition/show is not allowed for people with photosensitivity, a tendency to epileptic episodes or known respiratory problems.
- Program: As the competition takes place on a live event program, there is a possibility of delays. By participating in the competition, you agree to the Terms of Use and Rules of the Organization.
Costume regulations:
- Costumes: The costume must be based on a character from a published video game, comic, anime-manga, movie, television series, book or generally pop culture. Provocative costumes are strictly prohibited (it is at the discretion of the Organization which ones belong to this category).
- Previously presented costumes: Competitors who participate with a costume from previous Gameathlon & eGaming competitions or competitions/parades of other events/organizations have a 10% point deduction. The ComicDom-Con competition is an exception to the rule.
- Crafters: The Crafter can use another model for the stage presentation but there will be a deduction of points from the stage presence from the total score.
- Extra Items: Participants must inform the Organization if they want to use items that pollute the stage such as gold dust, confetti and anything else to get approval
- External Help: Competitors must be able to walk on their own without outside help on stage. If there is an issue with physical motor difficulties, any help that may be needed is allowed, with the Organization being informed so that all safety conditions are covered.
- Safety: The participants are responsible for the correct postural study of their costumes and their individual components (shoes, wings, props, etc) and must have full control of movement both before and during their presentation, without being a danger for them as well as for those around them. The stage consists of two different levels with steps that must be taken up and down respectively.
On-stage presentation information:
- Waiting Area: Cosplay Competition participants must be in the dressing room area at the time that will be announced to them by the reception upon registration.
- Presentation Time: Competitors have up to 60 seconds on stage.
- Music: The organization is not responsible for poor quality music that it will receive from the participant.
- Prohibitions: Props that use projectiles and the use of chemicals in the area are not allowed.
- Absence upon Announcement: In case the participant’s name is not announced on stage immediately, the organization will proceed to the next participation and is not obliged to take out the absent person at a later time.
- Sound interventions: The competition has an interactive form between presenters and competitors, which means that it is possible, for example, for there to be sound interference during the presentation, for the presenter to come into contact with props that are not used, etc. In case of damage to a prop by the presenters on stage, the organization will cover the cost of the damage.
- Stage preparation: If participants need time to prepare the stage (e.g., setting up props before they start) for their stage presentation, they must inform the organization in advance. Instructions received on the day of the competition cannot be implemented.
- Technical Difficulties: In the event of technical difficulties during the live event that hinder the participant’s presentation, the participant may be able to re-present at the same time or at the end.
Prejudging/Judging Panel:
- Scoring: Each judge scores each participant with a maximum of 40 for construction, a maximum of 20 for fidelity, a maximum of 30 for stage presence, and up to 10 points for difficulty. Participants with stage props receive an immediate 5 bonus points. The audience will be able to vote live for their choice and each participant will receive an extra flat score equal to the percentage of the audience (e.g., if a participant gets 10%, they will get an extra 10 points). The participant with the highest score wins the competition, etc. The judges’ scores will be available to participants after the competition. In case of cancellation of participation by the group of winners, there will be a roll-over of the winners.
- Cancellation of Participation: Cancellations of participation must be communicated to the Organization in a timely manner.
- Relationships: Contestants are prohibited from having a family relationship or bond with any member of the judging panel.
- Progress Book: The judging panel will receive the progress books before the competition for processing.
- Check In: When you arrive at the venue, please go through the event entrance to get your badge (and your companion’s badge) and confirm your participation. You do not need to come dressed up if you do not want to, you can change at the venue. If you do not check in, it is up to the Organization whether or not the Participant will be able to compete.
- Prejudging Procedure: After checking in at the reception, you are free to walk around the venue until your prejudging time, which you will be notified of by email when registrations close, at which point you must be in the dressing rooms. If you are NOT ready in the dressing rooms at the time stated in the email (where there will be a person from our team to check you in and direct you), you will lose your prejudging slot. You will still compete normally, but you will not pass by the judges. The slots will be strictly maintained in order to reduce potential delays and be fair to all participants who arrived on time. Each participant will have approximately 4 minutes with the judges.
Dressing Rooms:
- Changing Area: There will be a designated changing area (dressing rooms) for cosplayers in the Competition.
- Hours of Operation: The dressing rooms will remain accessible from 12:30 until the end of the Cosplay Competition.
- Storage: The use of them as a storage area for items or personal belongings is prohibited.
- Closing: The dressing rooms will be locked one hour after the end of the Cosplay Competition and participants must have vacated the area by then.
Important Notes:
- Temperature: Due to the high temperatures during the event period, the use of materials that may cause heatstroke or costumes without the necessary cooling and ventilation specifications is prohibited. In any case, there are ambulances, a doctor and hospital staff at the event, but we bear no responsibility for poor workmanship, poor choice of materials and other failures that may lead to discomfort or even heatstroke.
- Weapons: The use of weapons in public areas of the event is prohibited. Courteous and respectful behavior is recommended towards all attendees, and threatening behavior towards third parties of all ages is also prohibited.
- Security: Weapons that may be considered dangerous may be inspected by the event’s security team. You may be asked to store them.
- Smoke bombs, smoke bombs, fires and fireworks are prohibited
- Live Performances: Unrestricted live performances of battles are prohibited in the indoor areas and the immediate entrance area of the event.
- Ejection: The organization reserves the right to eject from the event in case of non-compliance with the terms.
- Promotional Material: By participating in the parade, you allow CowboyTV to use and upload photo and video material in articles as well as on facebook, in internal presentations and posters.
